PURPOSE

The Election Committee is charged with the responsibility of exercising any and all controls required to ensure the orderly and impartial conduct of all election events including the conduct of elections of directors, any special elections or ballot measures, and any advisory ballots.

1. Seven (7) members, responsible for selection of their chairperson, vice-chairperson, and secretary.
2. Subcommittees may be appointed, as needed, to complete any assignments.
3. Association Secretary as an ex-officio member, who has no vote.

To accomplish its purpose, the Election Committee shall undertake responsibility for the following actions and such other assignments as shall be made, from time to time, by the Board of Directors:

1. Minutes and roll call of each meeting will be taken and recorded. Written copies will be submitted to the Administration Office monthly.
2. Meet annually, following formation; thereafter, as Association election activities require.
3. Prepare the necessary documents, e.g. notice of meeting and eligibility to vote, election rules, and ballot and ballot validation forms.
4. Insure candidates for the Board of Directors comply with filing procedures and meet eligibility criteria.
5. As directed by the Board, assist in the preparation of ballot measures, special elections and advisory ballots.
6. Oversee the compilation by the Association's General Manager and staff of member eligibility and address lists, mailing of the necessary documents on a timely basis and receipt of ballots at the Administration Office.
7. Responsible for the control of the integrity of the election process in all of its aspects, including counting of the ballots.
8. Responsible for the security of the ballot boxes.
9. Responsible for the correctness of the ballots, adherence to rules of quorum, compilation of the ballots, and reporting to the Board President the results of the election.
10. As soon as feasible after the election, prepare and submit to the Board a report confirming the results of the election. This should also include comments and suggestions for the conduct of future elections.
